A Clear Route from Brief to Confirmed Order
A custom hat order becomes easier to manage when each decision has a clear place. Use these six stages to connect your design brief, sample approval and agreed order specification.

2. Review Design & Materials
Connect the desired appearance with the actual construction: crown shape, panel arrangement, brim, closure and internal components. Relia Hats discusses designs based on customer requirements or drawings, including customer-specified materials and logos.
Specify fibre composition separately from fabric names or surface descriptions. Agree which parts use the selected material and identify any colour or component decisions that remain open. This creates a clearer basis for both the sample and the quotation.
3. Develop the Sample
Define what the sample needs to demonstrate. A shape review, material selection and fully decorated approval sample may answer different questions; identify the required scope rather than assuming that one version proves everything.
Link the artwork file to its dimensions, colours and intended location. Confirm sample arrangements, charges, timing and any revision scope for the individual project before proceeding. Keep the version name visible in your correspondence.
4. Approve the Details
Review the sample against the written brief: material, colour, measurements, wearing fit, construction and logo. Use marked photographs and a concise change list where a detail needs attention. A general comment such as “looks good” leaves too much room for interpretation.
Record what is accepted, what needs revision and what still requires confirmation. Identify the approved sample and artwork version together so the next stage follows one consistent specification.
5. Produce Your Hats
Confirm the order quantities and the specification associated with the approved design. Keep the colour and size breakdown, logo version, component details and packing requirements together with the order record.
Production proceeds against the agreed project specification and commercial arrangements. If a requirement changes after approval, identify the affected version and discuss its effect before treating the change as part of the confirmed order.
6. Check, Pack & Dispatch
Agree the checks and information needed before dispatch, including any inspection arrangements, packing details and carton identification. Specify the destination clearly and confirm the delivery responsibilities and documents relevant to your order.
Plan backwards from your required date, allowing the project discussion to address development, approval, production and transport separately. The quotation and order agreement establish the actual quantities, timing and delivery terms.
