Agree the project before production
Relia Hats is a custom hat factory in China. We develop projects from your requirements or drawings, with customer-specified materials and logos.
Catalogue pages, images and displayed prices are project references. Orders are confirmed through the selected specification and commercial arrangements agreed in writing in the quotation, proforma invoice, order confirmation or other agreed project documents.
Quoted for your project
Quantity rules, price, development and sample charges, payment arrangements and delivery responsibilities are confirmed for the selected hat and order.
Approved before scheduling
We schedule production after the payment, drawing or sample approvals and other prerequisites specified in the agreed project documents have been met.
A recorded route to resolution
Changes and quality concerns are reviewed against the agreed specification, work completed, contract and applicable law.
Quotation scope and validity
A useful quotation identifies the hat design, materials and construction, colour and size breakdown, logo method and placement, quantities and intended destination. Tell us whether you need development from drawings, a reference-based adjustment or a defined repeat version.
The written quotation states its price basis, currency, validity and applicable conditions. Check what it includes or excludes: decoration, development, samples, packaging, freight, taxes, duties and any requested services.
Confirm acceptance within the validity stated in the quotation. If the quotation has expired, or the specification, quantity, material or delivery requirements change, request a written reconfirmation before proceeding. Resolve any difference between project document versions with us in writing before proceeding.
Before confirming: keep the selected product reference or drawing, specification revision, quantity matrix and quotation together. The agreed project documents and applicable law govern the transaction.
Quantity, sample charges and payment arrangements
Confirm the quantity basis
The minimum order quantity and unit price are agreed for the selected construction, material and decoration. Confirm whether a minimum applies by style, colour, size, logo version or the complete order. Record the colour, size and logo-version matrix in the order and confirm how the minimum applies to that split.
Sample and development costs
The written quotation confirms charges for sample development, artwork preparation, tooling or other setup work, sample delivery and any sample-charge credit towards a bulk order. Approve the costs and specific credit conditions before authorising the work.
Use the agreed payment instructions
Currency, accepted payment method, beneficiary details, any deposit or staged-payment amounts, balance requirements and payment triggers are specified in the quotation, proforma invoice or order confirmation. Follow the amounts, methods and milestones recorded for your project.
Complete the agreed payment and approval prerequisites together. Confirm any outstanding drawing, sample, material or order details with us before the next stage is scheduled.
Artwork, development files and approval ownership
Provide logos, designs, drawings and other content that you own or are authorised to use for the requested products. If you are requesting a third-party logo or design, confirm the necessary permission before asking us to develop or reproduce it. A reference image does not itself establish a right to copy someone else's work.
Ownership, access, transfer, licensing or reuse arrangements for development files, embroidery programs, tooling and other project materials must be agreed in writing where relevant. The project agreement defines which files or tools are supplied and the rights granted to each party.
Identify what is being approved
Record the approved drawing or sample version, material and colour reference, logo size and position, construction and fit requirements. Photographs, screens and printed mockups can differ from physical materials; use the agreed physical sample and written confirmation records as the specified reference.
Points of measure, dimensional tolerances, colour assessment and acceptance methods must be stated for the actual project. Sample approval does not remove the need for production to meet the agreed specification. Later artwork or specification changes require a new written confirmation of the affected scope.
Production, inspection and delivery agreement
Production timing is confirmed for the chosen design, materials, quantity and current project arrangements. The start event and prerequisites belong in the written order documents, including the agreed payment and drawing or sample approval conditions. Confirm material readiness and any relevant holiday or shutdown effects when setting the schedule. Urgent timing requirements must be accepted in writing with the relevant project arrangements.

- Complete prerequisitesConfirm the required payment, drawings, samples and other project-specific approvals.
- Confirm production and checksRecord the schedule, acceptance criteria and any agreed inspection or packing approval stages.
- Agree dispatch detailsConfirm packaging, destination, transport responsibilities and required shipment information.
Plan inspection before it is needed
If you need a third-party inspection or approval before packing or shipment, raise this before the order is confirmed. Inspection access, notice, scope, fees, acceptance standards and release responsibilities must be agreed for that order. Record the agreed services and approval stages in the order scope.
Separate production from transport
Confirm the delivery basis and named handover point, who books and pays for freight, and who is responsible for customs clearance, duties, taxes and any agreed insurance. Record production timing, target dispatch and the separate transport or delivery arrangements in the written order.
Packaging requirements, quantities per carton and shipment dimensions must suit the selected hats and be confirmed in the project and dispatch records. Tell us about required commercial, export or import documents before confirmation so that the available documents, responsible party and any charges can be agreed.
If you need separate orders consolidated or goods held before dispatch, request this in advance. Confirm availability, storage period, charges, responsibilities and the combined dispatch arrangement in writing.
Changes, defects, cancellation and dispute arrangements
Request changes before further work proceeds
Contact us with the order reference and a clear description of any requested change or cancellation. We review the request against the work performed, materials or services committed and the agreed order. Both parties must confirm accepted revisions, related charges or financial adjustments, schedule changes and cancellation arrangements in writing under the contract and applicable law.
Report a quality concern clearly
If delivered hats appear not to match the agreement, contact us promptly with the order number, affected style or version, quantities and clear photographs. Include the relevant specification or approval reference and a description of the difference. Where possible, keep the affected goods and packaging available so that the concern can be investigated.
We will review the evidence and investigate the concern against the agreed specification and acceptance criteria. After investigation, we will confirm an appropriate resolution under the contract and applicable law, which may include repair, replacement or refund.
Resolve the issue against the actual agreement
Raise questions or disagreements with the company using the contact details below and keep a written record of the issue and proposed resolution. The governing-law and dispute-resolution provisions of the agreed contract apply subject to applicable law.
Your legal rights: nothing on this page excludes or restricts any right or remedy that cannot lawfully be excluded or restricted. Any project-specific term remains subject to applicable law.
Request the terms for your hat project
Send your reference or drawings, material and logo requirements, size and colour quantities and destination. We can then discuss the specification and the commercial points that need written confirmation for your project.
